Property management / Service operations platform
Alder Row Properties
Maintenance requests arrived by phone and email, while property software held the tenancy record. We connected them through one service workflow.
Requests open longer than seven days fell about 37% in four months.
- 38 residential and mixed-use properties
- About 4,200 managed units
- Central operations team and external vendor network
- Existing property-management system retained
The business challenge.
The property system remained the correct place for leases and balances, but it was not where maintenance work actually moved. Coordinators searched inboxes to answer basic questions about ownership, vendor status, and resident communication.
- Requests entered through phone, email, and the property system
- Managers could not see one reliable queue of open issues
- Vendor assignment and approval happened through email chains
- Residents received inconsistent status updates
- Response-time and vendor reporting took days to assemble
The platform.
The first release created a shared request queue with property context, owner, urgency, and next action. Vendor assignment and resident updates followed.
- Service-request intake and triage
- Property, unit, and resident context
- Vendor assignment and scheduling
- Estimate and approval workflow
- Work verification and completion
- Response-time and vendor reporting
Automation and AI, where useful.
Automation follows a defined workflow. AI prepares, summarizes, or flags work for review when judgment still belongs with a person.
- Classify incoming requests for coordinator review
- Flag urgent or safety-related language
- Create vendor tasks after approval
- Send resident status updates
- Escalate requests approaching service targets
What changed after launch.
Managers could compare workload and response time by property and vendor. Routine requests moved with less coordination, while emergency classification still required a person to confirm the response.
Several long-standing vendors still reply by email. Their messages now attach to the request instead of disappearing into a coordinator's inbox.

“We kept the property system. We finally stopped asking three people whether a repair had been assigned.”
Growth partnership through the multi-property rollout, then ongoing improvement and support.
